This privacy notice describes how we may collect and use personal data about you when you engage with us, in accordance with the General Data Protection Regulation (GDPR).
What information do we collect about you?
We collect and process personal data from almshouse residents, employees, trustees, volunteers, grant beneficiaries, contractors, donors and potential donors, and volunteers. It is also relevant to anyone who has applied, but not been selected, for any of these roles or services.
We may collect data from you such as, but not limited to, your name, email address, postal address, phone numbers, date of birth, gender, financial and payment information, medical details, education / qualification history, employment information, DBS check, medical checks as appropriate, and information related to your enquiries about becoming, or application to become, a beneficiary of the Charity.
You are not required to provide us with all of the personal data listed above, but if you do not provide certain data, we may not be able to effectively engage with you. In certain circumstances, you will need to provide us with specific categories of personal data (including name, email address and payment information) in order to enter into a contract with us and for us to perform that contract.
Why we collect and how we use your personal data
We may use your personal data in, but not limited to, the following ways:
Legal basis for processing your personal data
We process personal data for the following reasons:
· Contract: where our use of your personal data is necessary for a contract, we have with you, e.g., Licence Agreement (residents), employment contract; processing grant payments; and sending relevant and necessary communications regarding applications (almshouse, grant, employment) via phone, email or post.
· Legal obligation: where our use of your personal data is necessary for us to comply with the law.
· Vital interests: where our use of your personal data is necessary to protect your or someone else’s life, typically in an emergency.
· Consent: where you have given us clear consent for us to process your personal data for a specific purpose, where another legal basis cannot be used.
· Legitimate interests: there may also be instances where we rely on ‘legitimate interest’ as the legal basis for processing and sharing your information with third parties such as health professionals and social services. We can do so where it is in our legitimate interest as an almshouse landlord, and / or where we need to protect the vital interests (e.g., the health and safety) of you or another.
Do we share your information with anyone else?
We will never share your personal information for direct marketing purposes.
· Our legal obligations
We will share specific and relevant information with law enforcement and government agencies or public bodies where we are legally required to do so. We may also share your information with emergency services and local authorities where this is necessary to help them respond to an emergency situation that affects you.
· Sharing information with our contractors and suppliers
We sometimes share your personal data with trusted third parties:
- Monitoring of the lifeline emergency alarms.
- Contractors that we employ to repair, maintain or improve your home, or carry out essential safety checks.
- Healthcare professionals who are involved in your care and welfare.
Where support services are provided on our behalf by a third party, such as monitoring of the lifeline emergency alarm, information is gathered and used and shared with the support provider to enable services to be tailored to meet your individual needs.
Protecting your personal data
The security of your data is very important to us. We ensure that there are appropriate controls and procedures in place to protect your personal details. Your personal data will be stored:
· In a paper-based, locked and secure filing system in our office
· On our secure servers.
Due to the nature of servers and cloud-based storage all over the world, this may mean that, during the processing of your data, it leaves the European Economic Area (EEA). Although they may not be subject to the same data protection laws as in the UK, we will take steps to make sure they provide an adequate level of protection in accordance with UK data protection law. By submitting your personal data, you are agreeing to this potential transfer, storing or processing at a location outside the EEA.
Right of access
You have a right to ask for a copy of the information we hold about you. If there are any discrepancies in the details we provide, please let us know and we will correct them.
If you want to access your information, send a description of the information you want to see and proof of your identity by post to the Clerk to the Trustees, Faversham Municipal Charities 2010, 5 The Almshouses, South Road, Faversham, ME13 7LU. We do not accept these requests by email, so we can ensure that we only provide personal data to the right person.
